Securantis how-to guide

Purpose of this article

This guide explains how to enable or disable email-based two-factor authentication (2FA email) from your Securantis account portal, how the login challenge works and what the recovery procedures are in case of lost access. It is intended for account administrators using the Securantis web interface (account platform).

Target audience and prerequisites

  • You must have an active Securantis user account and be able to sign in to your account portal.
  • Have access to the email address associated with your account (email 2FA sends temporary codes to this address).
  • Never share your password or your 2FA code via email or chat. Support will never request codes or passwords.

Enable email 2FA (step-by-step)

  1. Sign in to your Securantis account portal with your usual credentials.
  2. Open the account security section (or Settings > Security) — if the interface differs, look for the option related to two-factor authentication.
  3. Choose the option to enable 2FA and select “Email” as the secondary authentication method.
  4. Verify that the displayed email address is correct. If it must be changed, update it in your profile information before continuing.
  5. Start the activation: the system will send a temporary code to your email address. Enter this code in the interface to confirm that you control the mailbox.
  6. Once validated, email 2FA will be active. The system may display additional recommendations (e.g., enable an alternative method such as TOTP if available) — these suggestions are optional.

Expected outcome

  • After activation, each sign-in attempt to the account portal will trigger the sending of a unique code by email (challenge). You will need to enter this code in addition to your password to access the account.
  • The interface will indicate that email 2FA is active and show the activation date.

Disable email 2FA (step-by-step)

  1. Sign in with your account and complete the current 2FA challenge if protection is active.
  2. Go to the account security section.
  3. Choose the option to disable 2FA, then confirm the deactivation. Depending on configuration, you may be asked to re-enter your password or enter a code sent by email for confirmation.
  4. After confirmation, email 2FA is disabled and you will revert to password-only authentication.

Advice: always keep at least one secondary authentication method (for example TOTP) to avoid losing access if your email becomes unavailable.

How the email 2FA challenge works

  • During sign-in, after password validation, Securantis sends a unique code to the account email address.
  • The code is single-use and expires after a short period (typically a few minutes). If the code expires, request a new code from the interface.
  • If multiple attempts trigger multiple codes, only the most recent code is valid.

Recovery procedures if you do not receive the code

Quick checks (recommended order)

  1. Check your mailbox spam/junk folder; automated messages can sometimes be routed there.
  2. Confirm that the email address associated with your account is correct from your profile (if you are already signed in). A typo will prevent delivery.
  3. If you are not signed in and receive no code, use the account recovery option on the sign-in page (for example “Forgot password”), then follow the email procedure to regain access.
  4. Request a new code from the sign-in interface; wait a few seconds between attempts to let the server process the request.

Common scenarios and solutions

  • No email received: check spam, filtering rules and your mail provider’s quarantine. If you use a corporate domain, contact your mail administrator (automated emails may be blocked by filters).
  • Obsolete email address: if you cannot sign in and your registered address is no longer accessible, follow the recovery procedure (see below) or contact support (see “When to contact support”).
  • Invalid code: enter the most recent code received; if the message indicates “code expired,” request a new code.

Access recovery procedure (when you lose access to the email)

  1. First try the automated mechanisms available on the sign-in page (password reset via the registered address).
  2. If the email address is permanently inaccessible, prepare evidence that you own the account: recent invoices, company information, or license identifiers linked to the account. Never send your passwords; provide only non-sensitive proof.
  3. Contact Securantis support via the secure support area in your account (or via the channels listed on the website). Support will guide you through the verification procedure and may trigger access reset after validating your identity.

Important security and privacy notes

  • Never transmit your password or 2FA codes via email or chat. Support will never ask for these details.
  • If you believe your email address has been compromised, immediately change your mailbox password, then update the address in your Securantis profile and reset 2FA.
  • For enhanced security, enable an alternative authentication method (TOTP via an authenticator app) if available.

Common errors and advanced troubleshooting

  • “Email not delivered” error: check SPF/DKIM/DMARC configuration of the domain if you use a professional email. Without these records, automated messages may be rejected.
  • Too many attempts blocked: if you generate too many codes in a short time, the platform may apply a temporary rate limit to prevent abuse. Wait 10–15 minutes before retrying.
  • Missing system notifications: if you receive no notifications (payment emails, license emails, etc.) in addition to 2FA codes, review the overall configuration of your email address and server-side filtering rules.

Precautions before disabling 2FA

  • If you manage multiple accounts or users, ensure that disabling does not impact critical administrative access.
  • Notify other administrators if 2FA is used for shared workflows.
  • Keep valid fallback methods (secondary email address, phone number if supported by the platform).

When to contact Securantis support

Contact support if:

  • You no longer have access to the associated email address and the automated recovery procedure failed.
  • You suspect an account compromise (suspicious sign-in, unrecognized emails, impersonation attempts).
  • You encounter persistent technical blocking (emails consistently rejected by your provider despite SPF/DKIM checks).

Support will request non-sensitive information to verify account ownership (invoices, customer number, license details). For any intervention requiring access or deep account modification, the terms and procedures will be specified in the account portal and subject to standard conditions.

Quick summary

  • Enable email 2FA from the Security section of your account to add an extra layer of protection.
  • The challenge sends a temporary code to your email at each sign-in.
  • Keep secondary methods and verify your mail settings to ensure deliverability.
  • If you lose access, follow the recovery procedure or contact support providing non-sensitive proof of ownership.
